Commercial Roof Inspection Checklist — Complete Building Maintenance Guide

Water follows the path of least resistance, which on a flat roof means it can travel 20+ feet laterally along decking before dripping through. Map every interior stain — each one tells the roofer where to concentrate their exterior inspection.

Persistent moisture behind commercial ceiling systems creates mold colonies that are invisible until they're widespread. A musty smell in a specific zone usually means ongoing moisture intrusion, not a one-time event.

If you have access above drop ceilings or in mechanical rooms, look at the underside of the decking. Rust stains on metal decking, dark water marks on wood, or efflorescence on concrete all indicate moisture penetration.

Foot traffic, dropped tools, and wind-blown debris cause punctures. Blistering indicates trapped moisture between membrane layers. Mark every defect with chalk or tape so the repair crew can locate them.

Seams are the most failure-prone part of any single-ply membrane. Run your finger along every accessible seam. If you can lift the edge, it's failing. Fish-mouths (where the membrane curls up at the seam) are active entry points for water.

Commercial roofs should drain within 48 hours. Persistent ponding accelerates membrane degradation, adds structural load (1 inch of water = 5.2 lbs/sq ft), and voids many manufacturer warranties. Note the location and approximate depth of all ponding areas.

EPDM and some TPO membranes shrink over time, pulling away from parapet walls, curbs, and penetration flashings. Even a quarter-inch gap at a penetration lets water pour directly into the building.

Base flashing transitions the membrane from horizontal to vertical. Thermal cycling causes it to pull away from the wall over time. Look for gaps at the top termination bar and cracks in the flashing material itself.

Pipe boots degrade faster than the surrounding membrane because they're stretched around the penetration. Rubber boots crack after 8–12 years. Metal flanges corrode. If you can see daylight or feel air around any penetration, it's leaking or about to.

Rooftop HVAC units create the largest and most complex penetrations. Check that the curb flashing is intact on all four sides and that pitch pans (the sealant-filled boxes around conduit and piping) are filled to the proper level without cracks.

Counter-flashing covers the top edge of base flashing. Coping caps protect the top of parapet walls. If either is loose, missing, or has open joints, water enters the wall cavity and works its way down behind the membrane.

Leaves, gravel, trash, and HVAC filter remnants accumulate in drain baskets. A single blocked drain on a 10,000 sq ft roof section can accumulate 3,000+ lbs of water during a heavy rain. Clean every drain and verify water flows freely.

Scuppers are the overflow relief valves of a flat roof. They must be completely clear. Check that the scupper opening isn't blocked by debris or membrane material, and that the downspout below is securely connected.

Pour water near a drain and watch the flow. If water pools instead of draining, the roof structure may have deflected, or insulation may be saturated and compressed, creating low spots that trap water.

Place a coin or ruler next to each defect and photograph it from multiple angles. Include a wide shot showing the defect's location relative to roof features (drains, HVAC units, edges) so the repair crew can find it.

A simple sketch of the roof plan with numbered defect locations saves hours during repair scoping. Many commercial roofers provide free templates, or you can sketch one on graph paper.

If you found open seams, active leaks, or membrane damage, get a professional roofer on site within the week. Commercial roof damage compounds quickly — a small seam failure in April becomes a saturated insulation board by June and a full deck replacement by fall.
